(1) Standard software
The service provider provides the user with the native eSignatureOffice software as a download with a licence key in the agreed main version. Central licensing can also take place via a company-wide licence key.

(2) Type and scope of the service
The software enables the user to capture simple and advanced handwritten electronic signatures and embed them in PDF/a compliant documents. When capturing advanced electronic signatures, the biometric data is securely encrypted and then transmitted to the software, depending on the use of a StepOver signature pad, a tablet PC or capture via the dedicated StepOver Android and iOS apps. The software then creates a cross sum (hash) from the information in the entire document, including completed form fields, stamps and signatures, which is used to determine the integrity of the document.

(3) Functions
Depending on the version, eSignatureOffice offers several functions that can be used for the automation of document workflow processes. The functions listed here are not exhaustive, but represent the main automation options.

XML is a data format that enables the transmission of data in a container. eSignatureOffice can read XMLs and read data such as the PDF/a document as a path or base64 encoded and save it again in the same format. Data can also be passed or customised through the XML, e.g. from the application that creates the document, via eSignatureOffice, to the application that processes the signed document.

Signature sets allow the positioning of signature fields to be defined, even if there are no signature fields in the document. The positioning can be based on static coordinates or a text search. In addition, stamp information can be stored, for example the time/date, information about the signatory or the location.

Macros enable signed documents to be processed further, for example by printing them out or transferring them to a third-party application. The document can also be automatically saved, uploaded or sent by e-mail, and the document content can also be used for the file name or e-mail. Finally, eSignatureOffice can be minimised or closed.

Form fields such as text fields, drop-down menus, radio buttons and checkboxes can be edited via the XML or via the graphical user interface.

The user interface of eSignatureOffice can be customised so that the end user only has access to the predefined range of functions.

Standard version / Tablet PC & Mobile App
Depending on the version, eSignatureOffice can also enable the capture of biometric data via the touchscreen of a tablet PC and via the StepOver Capture apps for Android and iOS.

(4) System architecture
eSignatureOffice is a local application and runs on Windows 10/11. In addition, there are corresponding extensions for Citrix and Remote Desktop to ensure operation in client-server environments.

(5) Minimum system requirements
Hardware requirements

Minimum: Dual-core processor from 1 GHz and 1 GB RAM | Recommended: Dual-core processor from 2 GHz and 2 GB RAM

Memory requirements

150 MB free hard drive space (also for temporary data)

Screen resolution

Resolution at least 1024×768 with 16-bit colour depth
