Functions of the user manager on webSignatureOffice.com


The user manager is responsible for the central role in the administration of subordinate users in the webSignatureOffice system. Its main responsibilities include:

  • Create and Invite User: New users can be created directly or added via an invitation.
  • Manage Permissions and Settings: The User Manager can adjust permissions and configure synchronization settings.
  • Credit Management: Access to the credit pool is controlled, and credits can be transferred to subordinate users.
  • Deactivate or Delete User: Subordinate users can be deactivated or permanently removed.

In the webSignatureOffice UserManagement, only user managers (superior users with extended access rights) can log in using their regular login credentials. Subordinate users do not have access to this feature.

UserManagement Overview



In UserManagement, user managers can create or invite new, subordinate webSignatureOffice users.

The permissions, personal details and access to credits of the subordinate users can be managed.

Create User



A user manager can create new subordinate webSignatureOffice users in just a few steps. The required basic information must be provided, and the User Manager sets the password for the new user directly.

Once created, the system automatically sends an email to the new user confirming successful registration with webSignatureOffice.

A newly created user is granted full permissions by default, which can later be customized by the user manager.

Invite User



An Admin User can invite new subordinate users via an e-mail address.

As long as the invited user has not yet registered, they will not be displayed as a subordinate of the Admin User.

An invited user can register independently in webSignatureOffice and is only subordinate to the Admin User after successful registration (can therefore only then be edited by the Admin User).

If you do not want to make all authorizations available to a subordinate user by default, it is advisable to create the user directly in order to be able to define the rights afterward.

User Administration



Delete User

Subordinate users can be deleted by clicking on the trash bin icon. A confirmation prompt will appear to ensure the user is deleted intentionally.

Deactivate User

The active slider allows the deactivation of subordinate users. When the slider is blue and positioned to the right, the user is active. When gray and positioned to the left, the user is deactivated. Deactivated users cannot access webSignatureOffice.

Edit and Manage User

To edit user settings, simply click on the respective row in the user list. No additional icon (e.g., a pencil icon) is displayed; clicking on the row opens the editing options directly.


Permissions

Permissions for subordinate users can be managed here. Filled checkboxes indicate that the subordinate user is granted the respective permission.

Note: If web login is disabled, the user can still access webSignatureOffice through its mobile apps.


Credit Administration

The "Direct Access to Credit Pool" permission allows subordinate users to have unrestricted access to the credits of the user manager. In this case, subordinate users cannot purchase credits independently.

If a subordinate user uses credits (e.g., by creating a signature request), those credits are deducted directly from the user manager’s balance.

If the checkbox is unchecked, the subordinate user must purchase their own credits. Any previously purchased credits become available again if access to the credit pool is disabled. No credits are lost.

Additionally, the user manager can transfer credits to subordinate users when "Direct Access to Credit Pool" is disabled. The credits are directly deducted from the user manager’s balance and credited to the subordinate user.

Note: Transferred credits cannot be reversed. Once a User Manager has transferred credits to a subordinate user, the subordinate user will no longer be able to purchase credits independently and will rely on the User Manager for credit management.


Synchronization with Mobile Devices

These settings are relevant when using the iSignatureOffice (iOS) or aSignatureOffice (Android) apps. Users can log in with their credentials to receive and sign specific documents on their mobile devices.

If the apps are not used or should not be used, none of the checkboxes should be selected.

If users need to receive documents on their mobile devices that they must sign themselves, it is recommended to activate the selection for "red" documents ("Waiting for signature").


Profile information, such as the address, can also be added for the selected user.

A subordinate user is always authorised to edit their profile information in the web interface (provided that web login is permitted).


Edit multiple users simultaneously

To edit multiple users simultaneously, select the desired users using the checkboxes on the left side. After selecting, click "EDIT" to open the interface for bulk editing.


When editing multiple users simultaneously, only permissions and synchronization settings can be adjusted.
